Checklist for International Journeys

Members are reminded of the checklist of documents needed and preparation required for drivers, their vehicles and their passengers embarking on international journeys:

Vehicles

  • Vehicle registration document (original)
  • Number plate incorporating either the UK identifier or the EU standard national identifier (circle of stars)
  • Waybill - EC (for journeys within EC including Switzerland)
  • Waybill - ASOR or Interbus (for journeys not wholly within EC depending on destination country) - a Model Control Document must accompany the ASOR waybill
  • European Accident Form
  • Certificate of Insurance
  • Service Authorisation Document (applies to regular services only)
  • Certified copy of Community License
  • Current Test Certificate (original)
  • Tempo 100 Permit* (Germany) and vehicle rear sticker
  • Vitesse 100 Permit* (France) and vehicle rear sticker
  • Toll Stickers (as required), GO-BOX (Austria)
  • School bus sign (to be available if required)
  • Snow chains (as required in winter months)

         * Necessary to take advantage of top speed limit on motorways

Driver/Company

  • Passport* (check re-entry visa requirements for those with non EC passports)
  • National (EC) Driving License (EC Journeys) and international Driving Permit (non EC Journeys)
  • Letter of authority permitting driver to drive the vehicle (on the owner's notepaper)
  • Tacho charts (sufficient for each driver and spares) or digital driver card
  • Letter of attestation (in cases where there are gaps in the drivers' hours tachograph records for the 28 day period prior to commencing the international journey).
  • VAT registration number - for country/countries being visited especially Germany , Belgium and Denmark
  • Fuel cards/credit cards
  • Currency/DKV card
  • Bail Bond (optional)
  • High - Visibility Vests for each driver

Passengers

  • Passenger* (check re-entry visa requirements for those with non EC passports)
  • Ferry Passenger List - showing names, sex and indication of age of each person (including the driver) intending to travel by sea. Not needed for the Channel Tunnel

         * A general minimum validity of six months will suffice - however, Finland and Poland require a minimum validity of 1 year.

It is possible that not every document/piece of equipment detailed above will be required on every journey. Members are advised to be prepared and take them on all international journeys, thereby reducing the chances of encountering difficulties with foreign enforcement agencies and receiving heavy fines.
